    Today marks National Computer Security Day.

    This day demands our attention every year due to the shift to a more digital way of life. Although technology has enriched our lives, it has also left us vulnerable to data security issues and cyber-attacks.

    It’s no secret that the introduction of electronic devices has made our lives easier. However, that doesn’t mean it comes without its complications.

    This unofficial holiday reminds both people and businesses to stay on top of their computer security.

    In this blog, we’ll share some tips on how to keep on top of computer security.

    1. Create strong passwords

    I’m sure we’ve all fallen victim to the memorable password of ‘Password123’ or ‘Password12345.’ Despite, this making life easier for us, it also makes you more vulnerable to cyber-attacks.

    We suggest you create strong passwords by following the below steps:

    • Use a combination of upper-and lower- case letters.
    • Include numbers.
    • Include special characters (symbols).
    • Never include any personal information.
    • Never use the same password for different applications.
    • Ensure your passwords are at least 12 characters long.

    2. Keep all software up to date

    We’re fully aware of the painstaking amount of time it takes to update software. And we’re all guilty of clicking the little ‘X’ and leaving it to a later date. However, you are taking a serious risk every time you do this!  

    Software updates have multiple benefits and they all come down to protecting your computer security.

    Software updates are specifically designed to strengthen the stability of any software and combat the latest viruses.

    3. Ensure you have antivirus software in place

    Having an antivirus software installed on your electronic device sounds like a no brainer and we agree with this notion.

    Not having this could result in a slow device, or having important files damaged or deleted. To prevent this from happening, it is vital you have antivirus software installed.

    4. Regularly backup your data

    Ever spent hours on an important document but the file becomes corrupted?

    This disheartening situation is easy to avoid if you regularly backup your data.

    Here at The Unite Group, we recommend using the 3-2-1 approach for best practice:

    • Make sure you have THREE copies of your data,
    • On TWO different storage mediums,
    • And with ONE off-site copy.

    5. Cyber Essential Certification

    Businesses should go the extra mile when it comes to cyber security. One simple way of doing this is to achieve the Cyber Essentials certification.

    Cyber Essentials is a government-backed and industry-supported scheme that allows businesses to protect themselves from cyber-attacks.

    A foundation level certificate protects your business for 80% of the most basic cyber security breaches.

    The Cyber Essentials scheme covers 5 key areas of cybersecurity:

    • Access Control
    • Software Updates
    • Firewalls & Routers
    • Secure Configuration
    • Malware Protection

    The benefits of obtaining the Cyber Essentials certification:

    • It prevents around 80% of cyberattacks.
    • It presents you with new business opportunities and can boost your reputation,
    • Demonstrate to your customers/clients that you take cybersecurity seriously.
    • It provides you with the opportunity to work with the Government.
    • Be listed on the NCSC’s database.
    • Demonstrate your commitment to data protection.

    Upon completion of Cyber Essentials, businesses are then presented with the opportunity to move on to Cyber Essentials Plus.

    Search Engine Optimisation (SEO)– The Basics!

    If you have a website for your business, the likelihood of you hearing about Search Engine Optimisation (or SEO) is high! SEO is optimising your website to make them appear in a higher position in organic search results. Organic search results are related to results that have not been sponsored (or paid for). There isn’t an advertising budget behind them to make them rank higher.

    Search Engines, much like social media platforms, use an algorithm to determine how high up they appear in the organic search results. 

    Search Engines 

    It should come as a surprise to nobody that the top search engine is Google. Goggle has a reported market share of 91.88% across the globe (figure correct as of July 2022). But there are other search engines out there to consider when optimising your website. Search engines like Bing, and Yahoo as well as privacy-orientated search engines like Duckduckgo. 

    How do Search Engines work? 

    Search engines follow links on the web using crawlers (or spiders or bots – the term differs depending on who you speak to). These crawlers trawl the internet 24 hours per day, 7 days per week. Exploring the internet for content (text, news, images, links and the like). Every time the crawler comes across a website, it will follow the links around the site. It will then save an HTML version of the website into its index (a gigantic library or database of websites). This index is changed and updated every time something changes on your website. So the more content that is added or changed, the more often the crawler will visit your site. 

    What is the algorithm? 

    As with social media platform algorithms, it is ever-changing and ever-evolving. But decades of research and experience in SEO algorithm has shown that there are two main categories the SEO algorithm looks at. 

    On-Site Factors.

    On-Site Factors looks at your website structure, the content, readability of your text, accessibility, and technical factors such as security, caching, compression and speed. Google’s algorithm now weighs quite heavily on technical factors. Google wants to serve their users with quick, accurate and efficient information and will always rank a website higher that can serve this information quicker than one which may take 4-5 seconds to load.  

    Search engines work hard to make sure that the information that they serve to their users is relevant and unique. Copying from other websites is one quick and easy way to have your website hidden deep down in search results. This means your website copy being original is a big one. 

    On-site factors no longer look for reams and reams of content with large amounts of keyword repetition. You need to be demonstrating through your website copy that you know your audience and can fulfill their needs.  

    Off-Site Factors.

    Off-Site Factors are actions taken outside your website designed to impact the search engine (and user) trust and authority in your site. Your backlinks (links from other websites) and the quality of these links form a large part of this. Backlinks should be high-value and wherever possible, natural or manually built links.  Natural links are links which are given without any input on your part. For example, if you are selling farm food products on your website, a natural link could come from a blog dedicated to food and recipes – linking your page as a supplier.  

    Manually built links are deliberately built by you or your marketing team. Linking from social media to your website, getting influencers linking to your website on their social media too. Other marketing efforts (such as email marketing) which take place independently from your website feed all feed into off-site SEO too. 

    Does SEO have a place in your digital marketing strategy? 

    The short answer to this question is yes! Your digital marketing strategy should always be full circle and aligned. SEO algorithms feed on social sharing and traffic from social media platforms as part of the off-page factors mentioned above. Creating digital content such as blogs, creating new products to sell, and adding new information and pages to your website, not only gives your website fresh new and original content to be indexed by the crawlers of big search engines. It can also provide you with lots of quality content to share with social media followers. In our opinion, feeding SEO into your digital marketing strategy is a win-win! 

    What are the top tips for creating an organic SEO strategy? 

    Creating a strategy for your SEO is treating your SEO as a long-term goal – as it should be. Short-term wins might be tempting, but search engine crawlers are intelligent little bots who are wise to those short fixes such as keyword stuffing (the filling of pages with unrelated keywords) and the process of buying backlinks. While they might get you onto the first page of Google initially, your website will be pushed down the rankings for this and once they do this, finding your way back up is even harder.

    Can the softphone be set up on any mobile device?

    The Voice 365 softphone app can be downloaded from both the Android and Apple IOS app stores. Therefore any device running either of these can instantly have access to answering your business line. Meaning you don’t have to give your teams personal numbers out.

    The softphone can also be set up on laptops & desktop PC’s meaning you really can answer the phone anywhere!

    How does the call recording work?

    Call recordings can be provided to all users or selected users. They are then stored securely in our dedicated cloud network. Recordings can then be accessed online from any location. Call recordings can be stored for either 30 days, 180 days or 7 years depending upon your needs.

    Can I monitor my team’s call stats?

    Yes, our Voice 365 solution has call-reporting features. Meaning call reporting, wallboards and daily reports are all accessible through the cloud-based system. This is particularly useful for call centers. Wallboard’s can be displayed on large screens within your office if necessary and our friendly team of engineers will be on hand to set these up.

    Does Voice 365 have integration into office communicator software?

    Yes, Voice 365 can provide office communicator software in a monthly subscription for all users. Providing a live presence display and integration into basic Microsoft products including Outlook. The software can also support integration into your existing CRM to display information based on incoming caller details. Meaning your team can have a better idea of the the call they are about to answer. Typically speeding up your answering times and meaning you can provide a more personalised service.

    Can my existing telephone number be imported into Voice 365?

    Any existing numbers can be ported to our cloud network. This process typically takes 10-20 days to complete.

    Is The Unite Group team on hand to help if I encounter any problems?

    Yes, our dedicated team of engineers provide support from our dedicated remote helpdesk facility meaning issues can be dealt with promptly. Meaning you can be confident your telephone system is in safe hands.

    What is the cost of Voice 365?

    Voice 365 starts from £15 per user. This includes 5000 minutes per month per user. All users also will receive a handset upon installation. As well as support to set up any necessary softphones.

    In continuation of our Meet The Team blog series, we introduce you to Paul. Paul is our Sales Director here at The Unite Group having started The Unite Group back in 2009. Paul is often out networking and usually finds a way for it to be on the golf course!


    We recently had a chat with him to find out a bit more about the role he plays here at The Unite Group and what you can expect from a typical day in Paul’s life…

    Growing up, what did you want to be?

    Growing up, I wanted to be a professional footballer or a golfer! Ability unfortunately got in the way of either becoming a reality!! I have always had an interest in technology so I guess my 3rd choice has turned out ok! Still practicing the golf as much as possible you never know might make the senior tour yet!!

    What is your role at The Unite Group and how did you end up where you are now?

    My role here at The Unite Group is the Sales Director. I have worked in technology since leaving school but really enjoy meeting new and current customers and developing our ongoing strategy with the marketing team. So I guess I have the perfect job!

    What does a typical day look like at The Unite Group?

    In one word a typical day here at The Unite Group is busy! There is always a buzz in the office. We are very lucky to have a great hardworking team who are always customer focused and give 100%. This makes the busy days so much easier!

    I also run the FORE biz Newcastle group so I am lucky enough that golf is part of my working day every few weeks. It’s great to network with such a good group of business owners and FORE biz opens opportunities nationwide.

    What is your most and least favourite part of the job?

    My favorite part of the job is always providing a solution that I know will make a difference to our customers. It’s very rewarding to be able to efficiently and cost-efficiently fix the problems customers have sometimes been facing for years.

    My least favourite part of the job however has got to be paperwork of any kind!

    What is your greatest achievement?

    My greatest achievement has got to be that I once made two holes in one at golf in a 2 week period! I have not been even close to getting another one since!

    What is the best piece of advice you’ve been given?

    Believe in yourself and be confident, everyone has self-doubts and it’s normal to feel that way.

    This has been very relevant over the last 13 years as there have been times myself & Callum have had to take big leaps to grow The Unite Group and without self-belief, it would have never worked!

    Where do you see yourself in 10 years’ time?

    In 10 years’ time, I see myself hopefully winding down a little and traveling to some of the places on my wish list. I would love to try and see as much of the world as possible with my wife Lorraine.

    How do you unwind outside of work?

    It’s well known I like a round of golf or two!! So outside of work, you will often find me on the golf course. I am a member at Backworth however I love to visit other courses too as often as possible.

    Send Urgent Messages

    Sometimes, it can be easy to miss messages coming in. Especially when your recipient has a busy inbox, it’s important to mark your message as urgent to make sure that whoever’s on the other end knows that it’s a time-sensitive matter.

    Luckily, doing so in Microsoft Teams is incredibly simple. Press the exclamation mark in the toolbar below the textbox in the chat interface, and select ‘Urgent’. Your message will now be marked as urgent for the recipient. Type in your message and send it, and that’s it!

    Use Meeting Reactions

    Sometimes you want to show your approval of something in a meeting, but don’t want to interrupt the flow of conversation or presentation. Sometimes, you just want to laugh at a joke without unmuting your microphone.

    Meeting reactions make this simple. Just click on the Reaction menu during the meeting and click a reaction, and they’ll pop up on the side for everyone to see.

    Create Polls

    Asking everybody how they feel about a topic can just take up time and be a mess. Chances are, people will start a discussion in the chat and it’ll make it hard to be able to see the information you need.

    Polls are a great way to easily get opinions without hassle. They’re easy to set up, and can be a great way to collect data without having to sift through discussions to work out what people think. To make a Poll — click the ‘Microsoft Forms’ button in the taskbar and fill in the relevant information, and you’re done!

    Automate Tasks with Power Automate

    Automation is powerful. Rather than having to manually do a list of tasks, automation takes care of it for you. This can save hours of time and effort, and ensure the tasks are all done correctly and uniformly every time.

    In Microsoft Teams, you can easily set up buttons to do multiple things automatically, without needing to manually input. 

    1. Go into the Store tab on Microsoft Teams.
    2. Select ‘Workflows’, and select a template to create a workflow.
    3. Fill in each parameter, and you’re good to go!

    Use Live Transcripts

    Live transcription is a great way to ensure that hard-of-hearing employees can stay in the conversation. It’s also just a good thing to have, as even a slightly poor connection quality can turn a Teams meeting into robotic gibberish.

    To turn on live transcription, press the three dots on the meeting controls to view ‘More actions’, and click “Start Transcription”.

    You can also change the transcription language. To do so, click the three dots on the right of the transcript window and click “Change Spoken Language”.

    Reorganise your Teams

    Sometimes, you want to put a specific team at the top of your teams for ease of access. Or, maybe you just like alphabetical order and want to organise your teams that way. Whatever the reason may be, it’s simple to reorganise your teams.

    Just click and hold your cursor on the team that you want to move, and drag it to its new place on the teams list.

    Use Loop Components

    Microsoft’s groundbreaking Loop is the future of collaboration in the workplace. And, you can make use of Loop in Teams — with Loop components. With Loop components, you can collaborate with your team on anything — from agendas, to ideas, to simple checklists.

    By sending a Loop Component into a chat, you allow anyone in that chat to be able to work on it collaboratively. To do so, click on the Loop components button in the taskbar. Then, enter whatever you want into the component, and press send. 

    People will instantly be able to inline edit the component in the chat, and you can even send the same component to multiple chats.

    Bookmark Important Conversations

    Sometimes, you’ll find that someone in your team says something that’ll be important later. Rather than having to dig back and search for it, it’s much easier to save these messages.

    To do so, hover over those messages and click on the three dots next to the reactions, then click “Save this message”. This will save that message to your saved messages, for easy reference. You can also pin messages to the channel here.

    Create Teams Templates

    Creating a team from scratch can take a lot of time and effort. Microsoft Team’s templates are an easy way to circumvent this hassle. You can either create a template for use in all of your teams from scratch or turn a team you already have into a template.

    1. Go to the Teams menu, and into ‘Team Templates’.
    2. Click ‘Add.’ and then ‘Create a brand new template.’
    3. Fill in the template-builder with the template name and description.
    4. Add any channels you may want to the template.
    5. Your template is created!

    1. Go to the Teams menu, and click on ‘Team Templates’.
    2. Click on ‘Add’, and then select ‘Use an existing team as a template.’

    • If need be, you can add new channels or edit existing channels in the template.

    In continuation of our Meet The Team blog series, we are excited to introduce you to Craig. Craig is the newest member of the team here at The Unite Group having started working with us just a few weeks ago. Craig has settled into our team greatly and always brings a sense of positivity to the office!


    We recently had a chat with him to find out a bit more about Craig and the role he will be undertaking here at The Unite Group…

    Growing up, what did you want to be?

    Growing up, I always wanted to be a soldier. I spent 4 years in the South African Defense Force as an operational medic. I thoroughly enjoyed serving my country, and I am very proud of this.

    What is your role at The Unite Group and how did you end up where you are now?

    My role here at The Unite Group is a Systems Administrator, it’s a new role but I have worked in IT for almost 30 years now.

    I started in sales at an IT retailer after leaving the military. From there I quickly progressed to completing my MCSE on Windows NT, and joined Siemens as a network administrator. I then worked in Saudi Arabia for ARAMCO oil company supporting their knowledge management system. Thereafter, I worked in Botswana for their largest mining contractor as their general manager. We mined Nicol 24/7 and we also built asphalt roads for the government. Back in 2018, I emigrated from South Africa to the United Kingdom with my wife and son.

    I have thoroughly enjoyed my time in the United Kingdom, and I am overjoyed to be working with such a brilliant team here at The Unite Group. I also enjoy working with people, and I enjoy working in a team. As a team, we are always on hand to jump on and help one another when needed! I also take great pride in providing solutions to make our customers’ lives easier.

    What does a typical day look like at The Unite Group?

    My typical day is busy and we always start off with a laugh and a cup of coffee. My main role is to work closely with Mike and Dean on researching and planning projects for our customers. Alongside this, I offer tech support and help wherever I can. I am also working on some very interesting projects, and I want to see our customers pleased with the outstanding service we offer.

    What is your most and least favourite part of the job?

    My favourite part of the job has got to be working with people, supplying solutions to customers, and keeping my brain active. I can’t say I have any negatives. I always try to be positive about everything in life.

    What is your greatest achievement?

    My greatest achievement is stopping smoking cigarettes after 35 years, stopping alcohol, and losing 50 pounds by going back to the gym 6 days a week. I am fit now and have never felt better in my life. This has helped tremendously with focusing, and just being accepted into The Unite Group is a massive achievement.

    What is the best piece of advice you’ve been given?

    The greatest piece of advice I have ever been given is to “never burn your bridges”.

    Where do you see yourself in 10 years’ time?

    In 10 years time, I see myself as a success contributing to the success of this company and my team. I want The Unite Group to be successful, and I want to be part of that.

    How do you unwind outside of work?

    Outside of work, I like to go fishing, you can often find me at some of our beautiful locations like Derwent Reservoir. Also, I enjoy exploring, and being new to the North East there are so many wonderful places to explore, I have not even seen a fraction of them.

    What is the Cyber Essentials scheme?

    Let’s breakdown the Cyber Essentials scheme.

    Now that we’ve covered the basics of Cyber Essentials in our latest blog let’s dive deeper into exactly what the scheme entails. How long it is valid for. As well as how we can support your business as you work through achieving the certification. It is very important your business achieves the cyber essentials certification. 61% of certified organisations say they are more likely to choose suppliers with Cyber Essentials or Cyber Essentials Plus certification.

    Cyber Essentials Scheme: Overview

    The Cyber Essentials scheme is an ISAMW self-assessment questionnaire process. The questionnaire will then be signed off by a member of the board or an equivalent signory. After this, it is then verified by a certification body trained and licensed to certify against the Cyber Essentials scheme (like ourselves here at The Unite Group). It is important before applying you ensure your organisation meets all the requirements. This includes having evidence ready to be provided to prove you meet the requirements.

    What is in the scope for Cyber Essentials?

    The scope will be agreed upon between your organisation and The Unite Group, (as your certification body), before the assessment begins. Certification can apply to your full organisation’s enterprise IT or just a subset.

    How long is Cyber Essentials Valid for?

    All certificates are valid for 12 months. They must be renewed annually, much like your cars MOT. This works well to ensure your organisation is protected against the latest cyber-attacks. As those carrying out attacks are constantly looking for new ways to catch out and successfully breach data. If you do not reapply for your Cyber Essentials Certification as the 12-month period expires, you will no longer be able to apply for contracts that require you to hold a valid Cyber Essentials certification – like Government contracts.

    What is in the Cyber Essentials certification scheme?

    The Cyber Essentials scheme covers 5 main areas:

    Access control.

    Having managing access to administrator accounts means you can protect who has access to your data and services.

    Software Updates

    Staying current with the latest software updates and security patches protects you against the newest cyber-attacks and vulnerabilities.

    Firewalls & Routers

    Creating a buffer-zone’ between your IT network and other external networks. This will ensure incoming traffic is analysed to find out if you would like to allow it access to your network.

    Secure Configuration

    Choosing the most secure setting for your device and software. As well as changing passwords and removing unused accounts and software will reduce the risk of a potential cyber-attack.

    Malware Protection

    Using properly configured anti-malware software will protect against viruses and other malware risks. This also includes to only allow trusted applications to run.

    How long does it take between submitting the online questionnaire to receive your certificate?

    The length of time it takes from application to certification can vary. Some may be verified in one or two days. Whereas, others may take around two weeks to complete the assessment. This is dependent upon your current security setup and speed of action. Those who partake in the Cyber Essentials Plus scheme should expect a longer assessment period as it involves the internal security assessment as well as an external scan.

    Dean, our Sales & Finance director.

    Following on in our meet the team series, we introduce you to Dean. Dean is one of our Sales and Finance Directors here at The Unite Group. He mostly focuses on the finance side of the business.

    We recently had a chat with him to find out a bit more about him and his role…

    Growing up, what did you want to be?

    When I was young, my dream job was to join the Royal Airforce and become a Royal Airforce Pilot. Pilots need to be able to make quick decisions based on reasoning. A skill which I suppose is serving me well in my current role.

    What is your role at The Unite Group and how did you end up where you are now?

    I am one of the directors within the Unite Group I deal with IT, sales and Finances.  From previous roles, I have gained experience both in sales roles and technical roles. So, technical sales just make sense.  I love working with numbers and data and so taking on the role of managing the group’s finances is purely because I enjoy it. My role means I work closely with Lorraine on a lot of projects.

    What does a typical day look like at The Unite Group? 

    There is no typical day for me. There are so many things that I deal with on a day-to-day basis. Some days I can be working on sales quotes and completing the onboarding of a new client. On other days I can be right in the middle of a technical job. There are days when I just deal with the data and numbers.  There are days when I can be doing all of these jobs within one day. I just do whatever needs to be done at any given time.

    What is your most and least favourite part of the Sales & Finance directors job?

    Currently, the least favourite part of my job is dealing with supply chain issues. Due to various issues over the last couple of years, we’ve seen a global shortage of materials needed to manufacture devices we typically supply to our customers.

    What is your greatest achievement?

    Aside from being a part of building a business group to be proud of, my 3 children are my greatest achievement in life.

    What is the best piece of advice you’ve been given?

    Don’t be the cheapest, be the best instead. To me, this is ensuring that customers get value for the money they pay. It’s about being customer focused and realizing that there is no point in being the most expensive or the cheapest in the business if what you are providing isn’t worth it.

    Where do you see yourself in 10 years’ time?

    Doing what I’m doing now, hopefully in a larger capacity as the group grows.

    How do you unwind outside of work?

    I have 3 kids, varied in ages and interests. I enjoy spending time with them but there is no unwinding.  I’m not even sure what that word means. However, on extremely rare occasions when I am not working or running around after kids, I do enjoy gaming.
